Postmaster: our email sending practices
How Svrnty’s mail servers send, authenticate and monitor the messages of the applications and businesses they serve, and how to reach us when something is wrong.
01 Who operates these servers
Solutions Svrnty (9549-3177 Québec inc.), 3550 rue de Cherbourg, Suite 101, Trois-Rivières, Québec G8Y 6S6, operates the sending servers mx1.notify.svrnty.io (38.29.213.111) and mx2.notify.svrnty.io (38.29.213.105).
Postmaster: [email protected]. Abuse reports: [email protected]. Personal information: [email protected]. These mailboxes are read by a person; we answer within one business day.
02 What goes through these servers
Outbound email only. The servers host no inboxes; inbound they accept only returns (bounces, complaint reports, DMARC reports) and the postmaster@ and abuse@ addresses of the domains they serve.
- Transactional email from Svrnty’s own applications (Azimuth, Lumendesk, Cortex, accounts and sign-in): confirmations, delivery notices, password resets.
- Transactional email and newsletters of client businesses using our service, for example Goûtez Plan B (goutezplanb.com): order confirmations, the weekly menu sent to subscribers.
Each sender sends from a dedicated subdomain of its own domain (for example notify.goutezplanb.com) with its own keys. A problem with one sender does not affect the others.
03 Authentication
Every message is authenticated: SPF with a strict policy (-all) on the sending subdomain, a 2048-bit DKIM signature, and DMARC alignment with the domain of the From address. Connections to receiving servers use TLS. Each server’s IP address has a reverse DNS record (PTR) matching its name.
No message leaves our servers without the sending application authenticating itself. The servers do not relay email for unknown third parties.
04 Consent and unsubscribing
We follow Canada’s Anti-Spam Legislation (CASL) and Québec’s Law 25.
- Transactional email: sent within an existing relationship (an order, an account, a delivery). It carries no promotional content.
- Newsletters: sent only to people who subscribed and confirmed by email (double opt-in). No purchased or rented lists.
- Every message identifies the sender and gives an address to reach it.
- Every newsletter carries a one-click unsubscribe (List-Unsubscribe and List-Unsubscribe-Post headers) and a link in the footer. Unsubscribing takes effect immediately.
05 Bounces, complaints and suppression lists
Addresses that bounce permanently are removed automatically. We are enrolled in the providers’ feedback loops (Microsoft JMRP, Yahoo): a person who marks a message as junk is unsubscribed without any further send. We receive and read the DMARC reports of every domain we serve.
We monitor the reputation of our IP addresses and domains with the providers’ tools (Microsoft SNDS, Google Postmaster Tools, Yahoo Sender Hub) and rate-limit sending to each provider.
06 Reporting a problem
To report unsolicited email, phishing or a compromised account, write to [email protected] with the full headers of the message. For technical delivery questions, write to [email protected]. To stop receiving email from a sender served by our servers, use the unsubscribe link in the message or write to us: we apply the request to the sender concerned.
